Acceptable Use Policy

1. Who This Policy Applies To

This Acceptable Use Policy ("AUP") applies to all users of MyReportComments, including users of the free downloadable HTML tool, free web app tier, and all paid plans. By using any part of the service, you agree to comply with this policy.

This AUP forms part of our Terms and Conditions and should be read alongside them.

2. Permitted Use

You may use MyReportComments to:

• Generate draft school report comments for learners currently under your direct professional care as a registered educator or school administrator
• Edit, customise, and review generated comments before including them in official school reports
• Save and manage class lists and comment drafts for your own professional use
• Export generated comments for use in your school's official reporting system
• Use the tool across multiple classes or grade groups that you personally teach or administer

3. Prohibited Use

You may not use MyReportComments to:

3.1 Misuse of generated content

• Submit generated comments on official reports without reviewing and editing them to accurately reflect each learner's individual performance
• Generate comments for learners you do not directly teach or supervise
• Generate comments for fictional or non-existent learners for any purpose
• Use generated comments in any context that misrepresents a learner's academic performance, behaviour, or development

3.2 Account and access abuse

• Share your account login credentials with any other person
• Create multiple accounts to circumvent free credit limits
• Use another person's account without their explicit authorisation
• Purchase credits on behalf of another user for resale or redistribution
• Resell, sublicense, or commercially redistribute access to the service

3.3 Technical abuse

• Use automated scripts, bots, or tools to generate comments in bulk outside the provided interface
• Attempt to reverse-engineer, scrape, copy, or extract the phrase bank, algorithms, AI prompts, or any proprietary content
• Attempt to circumvent any technical measures that limit use of the service
• Test for or exploit security vulnerabilities without prior written consent from us
• Interfere with the availability or performance of the service for other users

3.4 Harmful or unlawful use

• Generate content that is discriminatory, defamatory, or harmful to any learner, educator, or third party
• Enter sensitive personal information about learners beyond first name and grade (e.g. medical conditions, disciplinary records, home circumstances)
• Use the service in any way that violates POPIA, the Children's Act, or any other applicable South African legislation
• Use the service for any purpose that violates your school's data governance policies or professional code of conduct

4. Professional Responsibility

MyReportComments is a drafting tool. It generates suggested comments based on the criteria you select — it does not assess, evaluate, or know your learners. As the educator, you retain full professional responsibility for:

• The accuracy and fairness of every comment submitted on an official report
• Ensuring generated comments comply with your school or district's report writing guidelines
• Reviewing and personalising each comment so it genuinely reflects the individual learner
• Compliance with the South African Schools Act and any applicable professional standards

5. Consequences of Violation

Minor / first offence (e.g. accidental credit limit workaround)	Warning issued; account reviewed
Account sharing or credential abuse	Immediate suspension; unused credits forfeited
Automated scraping or technical abuse	Immediate permanent ban; potential legal action
Content harmful to learners	Immediate permanent ban; referral to relevant authorities if required

We reserve the right to suspend or terminate accounts in violation of this AUP without prior notice and without refund of unused credits, except where required by law.

6. Reporting a Violation

If you believe someone is misusing MyReportComments — particularly in a way that could harm learners — please report it to hello@myreportcomments.com. All reports are treated confidentially.

7. Changes to This Policy

We may update this AUP from time to time. Material changes will be communicated by email to registered users at least 14 days before taking effect. Continued use of the service constitutes acceptance of the revised AUP.
