POPIA requires every private body (including companies and sole proprietors) to designate an Information Officer and register that officer with the Information Regulator of South Africa. This notice fulfils our public disclosure obligation.

2. Designated Information Officer
3. Responsibilities of the Information Officer
In terms of POPIA, the Information Officer is responsible for:
- Encouraging compliance with POPIA throughout the organisation
- Dealing with requests made to MyReportComments pursuant to POPIA
- Working with the Information Regulator in relation to any investigations
- Ensuring that a POPIA compliance framework is developed, implemented, monitored, and maintained
- Developing internal measures and systems to process requests for access to information
- Conducting internal awareness sessions regarding POPIA provisions
4. How to Submit a POPIA Request
As a data subject, you have the right to request access to, correction of, or deletion of your personal information held by MyReportComments. To exercise these rights:
- Email our Information Officer at privacy@myreportcomments.com
- Include your full name, email address associated with your account, and a description of your request
- We will acknowledge your request within 3 business days
- We will respond fully within 30 days, or notify you if an extension is required
There is no fee for submitting a POPIA data access request. If your request requires significant work to fulfil, we will notify you and may request a reasonable fee as permitted under POPIA before proceeding.
5. Grounds for Refusal
We may decline a request for access to information where disclosure would:
- Involve unreasonable disclosure of another person's personal information
- Breach legal professional privilege
- Prejudice a law enforcement process
- Be prohibited by law
If we refuse a request, we will provide written reasons for the refusal.

If you are not satisfied with how we have handled your personal information or a POPIA request, you may lodge a complaint directly with the Information Regulator of South Africa:
7. PAIA Manual
In addition to POPIA, the Promotion of Access to Information Act 2 of 2000 (PAIA) requires private bodies with more than 50 employees to compile a PAIA manual. As a small business, MyReportComments is currently exempt from this requirement. Should our employee count reach 50, a PAIA manual will be compiled and published on this page.
8. Updates to This Notice
This notice will be updated if the designated Information Officer changes or if the Information Regulator issues new requirements. Material changes will be communicated to registered users by email.
